Operator and contact
BELAVENT is operated by Saas Tech Dooel, Vodnjanska 2/2, Skopje, North Macedonia. Saas Tech Dooel is responsible for the personal-data processing described in this notice. Contact: hello@belavent.com or the Contact form. Use the Privacy and directory data request page for access, correction, removal, restriction or an objection. We may ask for proportionate evidence of identity or authority before disclosing account information; do not submit passwords, authenticator secrets or patient information.
Information you provide
Accounts use an email address and authentication credentials managed by Supabase Auth. Optional professional profile fields include your display name, role, specialty, country and preferences. Saved events, calendar and planning selections, reminder preferences, organizer claims, proposals and uploaded media are associated with your account. Correction, contact and partnership forms collect the details and message you submit. Sharing a sponsorship request requires the confirmation shown in that workflow.
Public directory information and indirect sources
We collect event, organizer, venue and location facts from official event pages, organizer and association websites, registration and programme pages, and relevant public professional announcements. Sources and check dates accompany records where available. Directory data may include publicly sourced professional contact information. A public source alone does not authorize BELAVENT to publish a personal contact. Named staff mailboxes, personal addresses, uncertain phone or WhatsApp numbers and unverified or stale methods are withheld by default. Publication of a contact method requires reviewed evidence and no recorded restriction.
Purposes and legal bases
We process account and requested planning data to provide the service you ask for. We use consent for optional analytics and consented partnership enquiries or sharing. Maintaining an accurate professional directory, reviewing corrections and claims, and protecting accounts and the service are legitimate-interest purposes, subject to applicable law and your right to object. Where a legal obligation requires retention or disclosure, that obligation is the basis. We do not use directory contacts for automated outreach, calls or marketing messages.
Private organizer outreach research
We also hold privately sourced professional organizer contact details and contact routes for possible future business outreach. Sources include official organizer and event websites, registration pages, programmes and brochures, and linked official social profiles. These records are restricted to internal use and are not published on the website. Public availability is not consent to marketing. Before any outreach, we must assess the applicable legal basis and communications rules, provide required information about indirect collection and an accessible objection route, and check restrictions. No outreach is automatically sent. Use hello@belavent.com or the privacy-request form to ask about a record, its source, correction, removal or an objection. Contact research is retained for the directory relationship and prospective outreach purpose while it remains relevant and accurate; stale or unnecessary records require review and removal, with minimal suppression information retained to respect objections. There is no automatic expiry job; review and removal are manual.
Analytics, necessary storage and security
Necessary authentication cookies and tokens maintain signed-in sessions. Browser storage also records your visual preference and analytics choice. Optional Vercel Web Analytics loads only after you allow it. Vercel describes its analytics as cookie-free, using a request-derived visitor hash and aggregate information such as public page URL, referrer, browser, device and approximate geography; its visitor session is discarded after 24 hours. BELAVENT filters private account/security routes and removes URL queries and fragments from analytics page URLs. Withdrawal stops future analytics submission; it does not erase measurements already received. Hosting and authentication providers separately process request and security logs needed to operate and protect the service, including network and browser information.
Providers and third-party requests
Supabase provides database, authentication and storage infrastructure; Vercel hosts and delivers the application and optional analytics. Unsplash and Wikimedia supply contextual photographs. Loading their remote images sends your browser network address and request headers to the image host. OpenFreeMap supplies map styles and tiles and receives browser requests when the map is used. Source links open independent services with their own policies. New passwords are screened server-side against Have I Been Pwned Pwned Passwords: only the first five characters of a SHA-1 hash are sent, never the password, full hash or your email address. Email features use the configured authentication or transactional delivery service when enabled; in-app reminders and saved review forms do not imply that an email or outreach message has been sent.
International processing
The BELAVENT Supabase project uses an EU database region. A database region does not guarantee that all support, authentication, CDN or analytics processing stays in that region. Providers may process data internationally. Supabase and Vercel publish data-processing terms and transfer safeguards, including standard contractual clauses where applicable. You can request information about the safeguards relevant to your data through the privacy-request route.
Retention and restriction
There is currently no automatic application-level account or review-request deletion schedule. Settings account-deletion requests are saved in a private review queue with a reference, and deletion is handled manually. Account, planning and review data remain stored until a reviewed deletion or restriction is carried out; closing a page or disabling a reminder does not delete the account. Directory history is retained to support the archive and provenance. Restricted suppression records are kept to prevent removed contact methods from being republished. Security logs and backup copies follow the relevant provider configuration and may not disappear immediately after a live-record change. A privacy request is reviewed against the processing purpose, legal obligations and the need to preserve restriction or security evidence; we do not claim an unsupported fixed retention period.
Your rights and complaints
Depending on applicable law, you may request access, correction, deletion, restriction or portability of your personal data, object to processing based on legitimate interests, and withdraw consent. Withdrawal does not affect lawful processing before withdrawal. You may complain to the data-protection authority competent for your residence, workplace or the alleged infringement. Organizers and individuals whose details came from public sources may use the same request route without creating an account. Please identify the BELAVENT page and the change or right requested. Requests are stored privately for review and do not automatically change a listing.
Automated processing and updates
Search, filtering, deduplication and editorial assistance help organize directory data. They do not make decisions about a person with legal or similarly significant effects. Publication, claims and privacy restrictions are subject to review. We update this notice when the service or processing changes.
